Privacy
This page is maintained by WholelottaVinyl to explain what data we collect and how we use it.
What we collect
When you place an order we collect your name, email address, delivery address, and the details of the order itself. Card details are handled directly by our payment processor (Stripe) and never touch our servers.
If you subscribe to the mailing list we store your email address until you unsubscribe.
How we use it
Order data is used to pack, ship and support your order, and to send you a receipt. We keep order records for accounting purposes as required by UK law.
We do not sell your data. We share limited advertising-measurement data with Google only as described under Cookies below.
Your rights
You can ask us at any time to see, correct or delete the personal data we hold about you. Email chris@wholelottavinyl.co.uk and we'll respond within 30 days.
Cookies
We use a small amount of browser storage to keep your shopping cart between visits and to keep you signed in if you have an admin account.
We use Google Ads and Google Analytics to measure visits and which orders come from our advertising. Where required by law (including the UK and EU), Google's advertising and analytics cookies are only set after you accept cookies in our cookie notice, and you can change your choice any time via the "Cookie settings" button. If you don't accept, Google's tag still sends limited cookieless signals (for example that a page was viewed or an order was placed, its value and order number, and the ad click identifier in the link) without setting cookies. If you accept, your email address and phone number from an order are also shared with Google in hashed form to match ad results. We also store the ad or campaign link details you arrived with (such as gclid or utm tags) on your order so we know which advertising works. Crate Expectations services
For Crate Expectations we may collect your name, email address, order reference and information needed to answer your enquiry. For a photo service, we also collect photos of records and sleeves you send for grading, valuation or authentication.
We use this to perform the service you requested, provide the digital guide, send service and download messages, meet tax and accounting duties, handle refund or support requests, and answer enquiries.
Record photos
Photos sent for a service are used only to produce the requested result. We do not publish or sell them. We delete photos on request or within 12 months of the service being completed, subject to any legal or accounting reason to keep related records longer.
Payment and retention
Card details are handled by the payment provider and are never seen or stored by us. We retain order and contact records for 6 years, in line with accounting and tax requirements.
Your rights
You can ask for access to, correction of or deletion of your data by emailing chris@wholelottavinyl.co.uk. You can also complain to the Information Commissioner's Office at www.ico.org.uk.
